This policy explains what information Hirerchy collects through our website, intake form, and client dashboard, why we collect it, who we share it with, and what choices you have. Our service involves handling detailed personal, academic, and professional information on your behalf, so please read this in full.
This policy reflects exactly what our systems actually do, not generic boilerplate. If anything below is unclear, or you'd like more detail on a specific point, contact us using the details at the end of this page.
Who we are
Hirerchy is a done-for-you job application service. Our team operates from India and works with clients internationally. Throughout this policy, "we," "us," and "our" refer to Hirerchy.
Information we collect
We collect information directly from you when you complete our intake form, use your client dashboard, or otherwise communicate with us.
Identity and contact information
- Full name, phone number, and date of birth
- Your mailing address, including city, state or province, country, and postal code
- A dedicated email address you provide for your job search, which also serves as your login for your Hirerchy account, this is intentionally the only email we keep on file for you
- A password you create for your account, stored in encrypted form by our authentication provider and never visible to our team as plain text
Professional and academic information
- Your LinkedIn profile URL and nationality
- Your work authorization status, visa type, and related details, where applicable
- Your university name, GPA, major, minor, and dates of attendance
- Your target industry, preferred job titles, seniority level, preferred employment type, target locations, expected compensation, current notice period, and any companies you'd like us to avoid
- Any additional context you choose to share about your target roles
Documents
- Your resume and cover letter, uploaded through our intake form
- Any additional documents you choose to upload through your dashboard, such as an unofficial transcript, certificate, or portfolio, along with the name you give each one
Plan and payment status
- The plan tier and term length you select
- Whether payment for your plan has been confirmed as received by our team
To be clear: we do not currently collect or store card numbers, bank details, or other payment credentials on our own systems. Payment is arranged directly between you and our team, and only the fact that payment has or hasn't been confirmed is recorded.
Application activity
As our team applies to roles on your behalf, we record the company name, role title, the link to the original job posting, the status of that application, and the date it was logged. This is shown to you in your dashboard so you always know what's been submitted.
Communications
Messages you send to our team through your dashboard, and status updates our team records about your account, are stored so your specialist and our managers can track and respond to them.
Information collected automatically
- Analytics. We use Google Analytics to understand overall site traffic. If our systems detect you are visiting from the UK or the EU/EEA, analytics is switched off by default until you actively accept our cookie banner. Visitors from other regions have analytics enabled automatically, since opt-in consent isn't legally required outside those regions.
- Approximate location for cookie compliance. To determine whether the cookie banner applies to you, our site briefly checks your general location (city or country level, based on your IP address) using a third-party lookup service. This check exists only to decide whether to show the banner, not for any other purpose.
- Address lookup. When you start typing your address on our intake form, what you've typed so far is sent to a free, independent address-lookup service (OpenStreetMap) to suggest matching addresses. This makes filling out your address faster and more accurate.
How we use your information
- To search for, evaluate, and submit job applications on your behalf
- To rebuild your resume and, depending on your plan, write cover letters and refresh your LinkedIn profile
- To create and manage your client account and dashboard
- To communicate with you about your account, the roles we've selected, application status, and billing
- To assign your account to a specialist and let our managers oversee the quality of the work being done for you
- To feature your feedback as a testimonial, but only with details you've explicitly agreed we can share publicly
- To improve how we operate over time
Access to your job search email
Because we submit applications directly on your behalf, our process depends on a dedicated email address you use only for your job search, kept separate from your personal email. Once your profile is reviewed and approved, a member of our team will contact you to set up Gmail delegation, Google's own account access-sharing feature, limited to that dedicated account only. You can revoke this access at any time. We never request or require access to your personal email account.
Who we share your information with
- Employers and job boards. When we submit an application on your behalf, the relevant parts of your resume, cover letter, and application details are shared with the employer or platform you're applying through, exactly as they would be if you applied yourself.
- Our team. Access within Hirerchy is role-restricted. Your assigned specialist can see your profile and application activity; managers can see accounts across their team; only the owner can see payment and financial records. Employees do not have access to clients they are not assigned to.
- Service providers who help us run the site. We rely on Supabase for account authentication, our database, and file storage; Netlify to host our website; Google Fonts to load our typography; Google Analytics for site traffic analysis, subject to the cookie rules above; an IP look-up provider to determine cookie-banner region; and OpenStreetMap for address suggestions. Each provider only receives the specific data needed to perform its function.
We do not sell your personal information, and we do not share it with third parties for their own marketing or advertising purposes.
Data retention
We keep your information for as long as your account is active, plus a reasonable period afterward for legitimate business or legal purposes, such as resolving disputes or complying with our own record-keeping obligations. If you ask us to delete your account, we will do so, though we may retain limited records where we're legally required to.
Data security
Access to client data is controlled through role-based database permissions, meaning each person on our team can only see the data their role requires. Passwords are never stored in plain text. That said, no method of transmission or storage is completely secure, and we can't guarantee absolute security of information you provide.
Where your data is processed
Our service providers may process and store data on servers located outside your own country. By using our service, you understand your information may be transferred internationally as part of how these tools operate.
Your rights and choices
- You can ask us to access, correct, or delete the personal information we hold about you at any time.
- If you're located in the UK or EU/EEA, you may also have rights under GDPR or the UK GDPR, including the right to object to certain processing and the right to lodge a complaint with your local data protection authority.
- You can withdraw analytics cookie consent at any time by clearing your browser's local storage for our site, or by contacting us to ask us to do this on your behalf.
To exercise any of these rights, email us using the details below.
Children's privacy
Our service is intended for people who are at least 18 years old, or the age of legal working majority in their country if higher. We do not knowingly collect information from anyone younger.
Testimonials
If we feature your feedback as a testimonial on our website, we will only use details you have agreed we can share publicly, such as your field of study, university, or the companies where you received interviews.
Changes to this policy
We may update this policy as our services evolve. We'll post the updated version here with a new date at the top.
